Aelia LLC (“Aelia”, “we”, “us”, or “our”) operates aelia.mn. This notice describes what information we collect when you visit the site or correspond with us, how we use it, how long we keep it, and the choices you have.
We are a Mongolian limited liability company registered as Aelia LLC, headquartered in Ulaanbaatar, Mongolia. Where Mongolian law applies, we act as a data controller within the meaning of the Law of Mongolia on Personal Data Protection. Where EU or UK data protection law applies, we act as the controller within the meaning of the GDPR and UK GDPR.
Information we collect
Information you provide.When you email us, submit the contact form, or otherwise correspond with us, we receive the information you choose to share — typically your name, email address, and the contents of your message. Prospective clients may share additional information as part of on-boarding, including identity and source-of-funds documentation required by applicable anti-money-laundering rules.
Information collected automatically.Our hosting providers log standard request metadata — IP address, user agent, timestamp, referrer, and requested URL — for operational, diagnostic, and security purposes. We may use privacy-preserving analytics to understand aggregate site usage; any analytics tools we use are configured to minimise the personal data collected and are not used to build advertising profiles.
Cookies.The site uses only the strictly necessary cookies required for it to function — for example, remembering your light or dark theme preference. We do not use third-party advertising cookies.
How we use information
We use the information we collect to:
- respond to inquiries and correspond with prospective and existing clients;
- deliver the services a client has engaged us to perform;
- operate, secure, and improve this website;
- comply with legal, regulatory, tax, and anti-money-laundering obligations; and
- establish, exercise, or defend legal claims.
Legal bases (where GDPR or UK GDPR applies)
Our processing relies on the following lawful bases, as applicable: performance of a contract or steps taken at your request before entering into a contract; our legitimate interests in operating and securing the site, responding to inquiries, and running our business; compliance with legal obligations; and, where required, your consent, which you can withdraw at any time.
Sharing
We do not sell personal information, and we do not share it for advertising purposes. We share information only with:
- service providers that host the site, handle email, or otherwise support our operations, under written confidentiality obligations;
- professional advisers (legal, audit, tax) bound by professional confidentiality;
- regulators, law-enforcement, and other public authorities when required by law or to protect our legal rights; and
- counterparties to a corporate transaction — for example, a sale or reorganization — subject to appropriate safeguards.
International transfers
Aelia is based in Mongolia. Some of our service providers operate outside Mongolia, including in jurisdictions that may not provide the same level of legal protection for personal data. Where transfers of personal data from the European Economic Area, the United Kingdom, or other regulated jurisdictions take place, we rely on an appropriate transfer mechanism — typically standard contractual clauses or an equivalent instrument.
Retention
We retain personal information only for as long as we need it for the purposes for which it was collected, or for a longer period where required by law (for example, books-and-records, tax, or anti-money-laundering retention obligations). Routine correspondence is typically retained for up to seven years after our last substantive contact with you, subject to shorter periods where appropriate.
Security
We apply reasonable technical and organisational safeguards — including access controls, encryption in transit, and least-privilege principles — to protect personal information against unauthorised access, loss, or alteration. No system can be guaranteed to be fully secure; if you believe your information has been compromised in connection with this site, please let us know using the contact details below.
Your rights
Depending on where you reside, you may have the right to access the personal information we hold about you, to request that it be corrected or deleted, to object to or restrict certain processing, to request portability, and to withdraw consent where processing relies on consent. We will respond to verified requests within the time frames required by applicable law. You may also have the right to complain to a supervisory authority — for example, the authority responsible for personal data protection in Mongolia, or your local data-protection regulator in the EU or UK.
Children
This website is directed to businesses and professional clients. It is not intended for children under the age of eighteen, and we do not knowingly collect personal information from children.
Changes
We may update this notice from time to time. The “last updated” date at the top reflects the most recent revision. Material changes will be communicated through the site or, where appropriate, directly to affected individuals.
